Choosing the right wedding venue is essential — it sets the tone for your entire celebration. To help you make an informed decision, we've gathered the questions couples ask us most.
The Venue
What do I need to reserve a date at Pell Road Ranch? Do you provide a payment plan?
To reserve a date with one of our curated packages, a non-refundable retainer of 20% of the package total along with a signed contract is necessary. We offer flexible payment plan options for our couples: monthly, bi-monthly, or quarterly payments. Please note that these options depend on how soon your selected date is after signing.
For our exclusive standard collection, a non-refundable retainer of $1,100 along with a signed contract is necessary to confirm your date on the calendar. Although we don't offer specific payment plans, you can log into your client portal at any time to make partial payments leading up to your event, with the final payment due 30 days prior.
To secure your date for our exclusive elopement collections, a non-refundable retainer of $800 and a signed contract are required. Similar to the standard collection, while we don't provide specific payment plans, you can make partial payments through your client portal at any time, with the final payment due 30 days before the event.
A credit card must be kept on file for any potential damages to the facility or grounds. You will receive invoices and contracts through your online client portal, where you can make payments directly. We accept all payment methods, including credit/debit cards (fees may apply), checks, cash, money orders, cashier's checks, and payment apps such as Zelle, Apple Pay, CashApp, and Venmo.
How do I know if my date is available?
The best way to find out if your date is available is to fill out our contact form or text Amy at (407) 417-7800. Provide your preferred date within the form, as well as your 2nd and 3rd choice of date in case your preferred date is unavailable. An event date is only secured on our calendar with a paid retainer and signed contract. Date reservations are on a first come, first serve basis. Pell Road Ranch only hosts one wedding per day to ensure that each couple's event is special and receives our full attention.
Do you offer any discounts?
Pell Road Ranch offers a 5% discount to all Military, as well as First Responders — Police Officers, Firefighters/EMTs. Thank you for your service!
Do I need to schedule a tour or can I just stop by?
We kindly request that all tours be by appointment only. Tours are available every day around our events. You can schedule a tour by contacting Amy. If you are out of state, you can book a virtual tour with us by contacting Amy directly.
What is your rain policy?
At Pell Road Ranch, we are committed to making your wedding day beautiful, regardless of the weather. Our rain policy is designed to provide a smooth and stress-free transition if outdoor plans need to change.
If light rain or a passing sprinkle occurs, we will wait approximately 10–20 minutes to determine if the weather clears before making any changes. If there is a storm or weather conditions that could impact the safety or comfort of you and your guests, the ceremony will be moved indoors.
Our staff will promptly transform the barn into a beautiful ceremony space and, following the ceremony, will rearrange the space for your reception. We handle all setup transitions so you can focus on enjoying your special day.
Can we use fireworks on the property?
Pell Road Ranch provides a fireworks and sparkler add-on as part of our offerings. However, due to liability concerns, outside fireworks or vendors of that nature are not allowed. All handling of fireworks and sparklers will be done exclusively by Pell Road Ranch.
What is the cleanup process?
Pell Road Ranch will take care of all standard cleanup and trash removal during and after the wedding reception.
What are your music regulations?
Music must conclude by 11 PM on Fridays and Saturdays, and by 10 PM on Sundays.
What is the building capacity at Pell Road Ranch?
Our venue can accommodate up to 120 people.
The Vendors
Do we have to utilize your caterers and bar service?
Pell Road Ranch offers a carefully curated list of preferred vendors for your selection. While we encourage you to choose from this list — as we have ensured their service quality, food standards, and pricing meet our couples' needs — we are open to accepting outside vendors, except for bartenders. A bartender is included in your rental package to manage liability, licensing, and insurance under our venue, ensuring a safe and compliant event for all.
Can our vendors drop off or pick up items outside of the rental period?
Pell Road Ranch is reserved daily, so all deliveries must be scheduled within your designated rental period.
Does Pell Road Ranch handle the catering coordination?
Based on our experience, couples typically collaborate directly with their catering teams to create the most cost-effective and efficient menu for their event. Our vetted preferred vendors will reach out to you after signing to discuss any questions and arrange a tasting, kicking off your planning process.
Does your venue include a wedding day coordinator?
Absolutely! We recognize that keeping your event organized and stress-free is key to a successful and enjoyable day. Each of our collections comes with a day-of coordinator and wedding planner to assist you.
The Decor
What are the options for florals?
Choose from a selection of seasonal Romantic Foliage including Roses, Spray Roses, Daisies, Wax Flower, Hydrangeas, Sunflowers, or any combination of the flowers listed.
What time will I have access to the venue to decorate?
Couples will be granted access to the venue at the time specified in your contract. Please plan your decorating schedule accordingly.
Do you offer straight tables instead of round?
We have a limited selection of straight tables available on-site. You can utilize additional tables provided by the venue for your gift table, sweetheart table, and other purposes. We also have a few extra tables that can be mixed in with the reception seating. However, the majority of guests will be seated at round tables. Our 60″ round tables comfortably accommodate 8–10 people.
How will the tables and chairs be arranged for my sized event?
During your initial planning meeting, our team will discuss your floor plan and seating arrangements, the details of your special day, rentals, and more. We offer various layout options, and we will guide you through the best choices based on your guest count. In the days leading up to your event, you will have a final walkthrough. The planning meeting is held 30 days prior to your event to finalize all the specifics for your big day. Rehearsals take place the Thursday before your wedding date.
Are candles allowed at the venue?
Yes, candles are permitted as long as the flame is completely contained within a candle holder. For safety reasons, tapered candles and any type of hanging candles are not allowed.
Can we hang decorations at the venue? (signage, streamers, lanterns, etc.)
We encourage our couples to personalize their special day. To facilitate this, we have installed hooks in designated areas for your decorations. If you have specific items you would like to discuss, we can address those during your planning meeting.
Guests
Are there overnight accommodations nearby?
Yes, there are several options available for out-of-town guests. The closest is the Hampton Inn, approximately 18 miles away, and they offer bulk room rates.
Can vehicles be left overnight?
You cannot leave vehicles at the venue overnight. Please be sure to advise your guests of this policy. We lock the gates to the venue at midnight and keep them locked outside of business hours. Uber travels to the venue and is a great option for your guests.
Pets
Are pets allowed on our wedding day?
While we adore our four-legged friends, we do have specific guidelines regarding pets at the event. We recognize that pets may be part of the wedding celebration; therefore, the following rules apply:
- All pets must be pre-approved by the venue owner.
- Pets are permitted on-site only during the ceremony and for photographs.
- After the ceremony, please ensure that pets are removed from the venue.
- All pets must be leashed at all times, and a designated member of your party should be responsible for them, rather than the bride and groom.
- Only service animals are allowed indoors and in areas near food.
- Pet waste must be picked up and disposed of properly.
